Guide to submitting ILL requests online
The LRC is part of an Interlibrary Loan (ILL) network that allows us to borrow material from other libraries in the UK should we not have access to these items in our own library.Staff and students can request material necessary for their research and coursework via our ILL service. Before requesting, please bear in mind that some ILL requests might take some time to fulfil, especially for obscure titles. You will be informed if there will be a delay with your request.
Please check the Library Catalogue and the Ejournals page to ensure that we do not have access to the material before making an ILL request. Requests for items in stock will not be processed.
Who can use the ILL service?
- Academic staff and research students
- Taught postgraduate students
- Undergraduate students
Academic staff and research students - Academic staff and research students are allowed to make ILL requests within the allocated department funds.
Taught postgraduate students - The LRC provides up to 10 ILL requests (per academic year) for each taught postgraduate student. Any additional ILL requests must be self-financed. Please see ILL charges, payments and renewals for more information.
Taught postgraduates can also benefit from the SCONUL Access Scheme, which could mean faster access to the material they need. Please see the SCONUL Access page for more information.
Undergraduate students - The LRC provides up to 5 ILL requests (per academic year) for each 3rd Year and 4th Year undergraduate student. Any additional ILL requests must be self-financed.
3rd Year undergraduate students must get their 5 allocated ILL requests authorised by their course tutor.
1st Year and 2nd Year undergraduates may make self-financed ILL requests.
ILL Authorisation
3rd Year undergraduate students must get their 5 allocated ILL requests authorised by their course tutor before the LRC will process the requests.
The LRC will then forward the details of requests to the requestor via email, which they can then forward to their course tutors via email.
Course tutors should then forward the email with confirmation of authorisation back to the LRC.
Requests that have not been authorised will not be processed.
Requests that have not been authorised after one month will be cancelled.

ILL Charges and Payments
Students and staff can choose to self-finance their ILL requests.

Payment for self-financed ILL requests must be made to the LRC Service Desk using your Smartcard.
Distance Learners may pay for their ILL requests by cheque. Please make the cheque out to “Queen Margaret University” and send it to the Learning Resource Centre.
Renewal of items on loan from another library are at the discretion of the lending libraries. Please check with the ILL team at ills@qmu.ac.uk if renewal is possible. There may be a charge for the renewal, which staff and students will be required to pay. Payment for renewal of ILLs must be made to the LRC Service Desk using your Smartcard.
Receiving ILL requests
Photocopies of documents, e.g. journal articles and book chapters, obtained via ILL will usually be received electronically, which the LRC will then forward on to the requestor’s QMU email address.
Please make sure that your QMU email inbox has space available to receive ILL documents as some of the documents may be quite large.
ILL Loan items will be processed on the day of receipt and requestors will be informed by email. Requestors must then collect the ILL loan items from the LRC Service Desk.
ILL for other libraries
The LRC accepts ILL requests from other institutions.
Please send your request via email to ills@qmu.ac.uk , quoting your British Library account number and your request reference number.
The fees for such requests are in line with current BLDSC charges and will be claimed through BLDSC.
PhD theses
Please refer to the British Library’s Electronic Theses Online (EThOS) service in the first instance if you wish to view a PhD thesis from another university in the UK.
You will have to register with EThOS to able to download or request a thesis. Most of the theses available on EThOS are free to download.
